Privacy Policy for NCAAOM Membership

Information about NCAAOM Members

NCAAOM respects the privacy of our members. This Privacy Policy outlines how NCAAOM collects and uses information when you register for NCAAOM Membership.

When you register for NCAAOM Membership, we collect certain information from you. To join, we ask for your business and/or residential address, phone/fax numbers, credentials, email address, academic history, expertise, and a number of other items of information that we may remove or add to from time to time. We collect this information in order to send you information on upcoming seminars, updates and information about our products and services, a means to respond to your questions, and to allow you to use our web forums and online referral system.

If you make a purchase on our site, we will ask you for your billing information including your name, billing address, email address, telephone number, and credit card information in order to process your order. If you choose to participate in a forum, we will ask you for, or otherwise assign to you, other information including a username and password. This information is required to participate.

We do not keep track of where you go on our site in a manner that would personally identify you. We do use information about how visitors use our site, both in the publicly accessible and members-only accessible partitions on an anonymous, aggregated basis. We use this information so that we can understand how visitors are using the site and to improve its content and navigation.

If you choose to register for any of our Expositions and Conferences, you are subject to a separate privacy policy. (Please see the next section of this page.)

Sharing of Information

Of necessity, we will submit your information to a third party vendor and their subcontractors in order to complete a credit card transaction, submit your check for processing, fulfill your order, or any of several other services we provide to you requiring the involvement of a third party. Any third party that we do business with is not permitted to use any of your personal information in any manner other than for the purpose for which it was provided. Third parties will not sell, rent or give your information to any other companies, other than successors to their businesses.

By entering into the agreement for membership, the purchase of a product, and/or placement of your order with us, you acknowledge that the uses and disclosures are necessary to the fulfillment of the agreement with you, and you specifically consent to the use and the disclosure of your personal information as set forth herein. You specifically acknowledge that your personal information may be transferred outside the Unites States in order to process or fulfill your order. Subject to applicable law, we will provide you with access to your personal information on request and provide you with the means to rectify errors. You may also notify us of your objection to the use of your personal information for NCAAOM's direct marketing purposes.

As a member of the NCAAOM, we will provide your business name and contact information (except email addresses) to the public who are contacting the NCAAOM for a referral for a practitioner of Oriental Medicine in a particular geographic location. Please notify the NCAAOM administration if you wish to have the NCAAOM exclude your practice in any referral. As part of your participation in our publicly accessible online referral program, we assign to you the responsibility of requesting the setup of the profile, and then entering and maintaining the information in your online profile. (Any changes to your online profile will automatically be forwarded to the NCAAOM administration so that our internal records will be updated as well.)

As part of our member discount program with preferred vendors, we do provide your contact information to them so that you may receive their discounts.  If this is a problem for you, please let us know, but in that case, the vendor(s) would not provide you with the member discount.

Email

NCAAOM holds your email address sacrosanct. With the one exception noted below, the NCAAOM will not knowingly release anyone's email address to anyone for any reason, regardless of how the NCAAOM acquired it. Only on the direct verbal order by an NCAAOM Board member will the NCAAOM release an email of an NCAAOM Board of Directors member or Committee member to anyone outside the Board or various committees. Note: If you contact the NCAAOM by email, you agree that your email address may be provided to the most appropriate Board member or Committee Chairperson for the sole purpose of engaging in the dialog you initiated.

Cookies

The NCAAOM Members-only partition of our Web site may use "cookies" to improve your experience on our site. Cookies are small text files placed on your computer through your browser when you generally visit some web sites. Cookies may be used by the NCAAOM's Members-only partition to recognize and re-authenticate users when they return to our site. Through the use of cookies, members may be presented with custom content to include, but not limited to, News Alerts for which the NCAAOM received "non-delivery notices" specifying your email address.

Non-Members Intrusion into the Members-only Partition
The Members-only partition is not designed for non-members. We require that NCAAOM members refrain from permitting others to access the Members-only partition.

Legal Disclosure

The NCAAOM Administrative Policy and Procedures that pertain to NCAAOM Membership is such that we would not regularly record or track the activities of your practice, the non-private interactions with your patients, your activities towards the profession in general, nor your communications with the NCAAOM Board of Directors, administrative staff, or other NCAAOM members unless it directly impacts the status of your NCAAOM membership. However, in certain situations such as the receipt of a legally recognized subpoena or court order, we may be required to share whatever permanent and temporary information we may have about you.

Security

The NCAAOM is committed to securely maintaining any information that you provide to us. We use state of the art technology in order to securely store all user information in our databases and paper files. While we make every effort to keep this information secure, we cannot 100% guarantee that the security measures we take will prevent third parties from illegally obtaining your information.

Privacy Changes

If we decide to change our privacy policy, we will post the changes here so that you will always know what information we collect about you, how we use it and whether it is shared with anyone. The privacy of your email address, however, is written in stone by the very finger of whatever deity or honor system you profess to believe in.

Privacy Policy for NCAAOM Expositions and Conferences

NCAAOM respects the privacy of our members. This Privacy Policy outlines how NCAAOM collects and uses information when you register for and/or attend any of our Expositions and Conferences.

Information about Attendees

NCAAOM Expositions and Conferences are supported extensively by our Vendors. As such, each Vendor participating at an event is entitled to obtain a list of all attendees for that event. This list will include your mailing information. You may permit us to include your phone number in this list. Any information provided to our vendors will never include your email address.

As an Attendee, when you register for an NCAAOM event, we collect certain information about you. We ask for your business and/or residential address, phone/fax numbers, credentials, email address, and other items of information that we may, from time to time, add or delete. We collect this information in order to send you Expo Alerts by email and to respond to your questions about our events. We collect demographic information in order to better understand our attendees and their presumed travel requirements.

If you have registered for an NCAAOM event, we will ask you for your billing information which may include your name, billing address, and credit card information in order to process your registration. We do not share, rent or sell your personally identifiable information to third parties who are not involved in the planning or execution of an NCAAOM event. We do contract with partner companies to perform functions such as processing check and credit card payments so your billing information will be entered into their processing system for the sole purpose of completing the registration transaction. They are not permitted to use your information for any other purpose. We may share anonymous user information with our partners in order to provide you with certain accommodations and to complete any necessary planning requirements of NCAAOM events.

When you register for an NCAAOM event, we will automatically assign to you a unique identifier ("Confirmation Number") that is associated with your registration. The Confirmation Number is matched to your personally identifiable information and it allows us to analyze unique registration patterns.

Information about Vendors

NCAAOM Expositions and Conferences receive extensive support from our Vendors. As such, each Vendor participating at an event is entitled to obtain a list of all attendees for that event. This list will include attendee mailing information and may, if the attendee indicates as such, their phone number. However, any information provided to Vendors will never include the email address of any attendee.

When you, as a Vendor, register and contract for a display booth for an NCAAOM event, we collect certain information about you. We ask for your business address, phone/fax numbers, email address, contact name(s), and other items of information that we may, from time to time, add or delete. We collect this information in order to send you Expo Alerts by email, both general information and specific information to the business of vending at NCAAOM events, and to respond to your questions about our events and your booth contract. We collect demographic information in order to better understand our vendors and their presumed travel requirements.

If you have contracted for an NCAAOM event, we will ask you for your billing information which may include your name, billing address, and credit card information in order to process your contract. We will not disclose any financial information about your contract.

However, because we surmise you are in the business of acquiring clientele, we will share your general business contact information to Event attendees and any other third party who has a legitimate interest in the list of vendors at an NCAAOM event.

We do contract with partner companies to perform functions such as processing check and credit card payments so your billing information will be entered into their processing system for that sole purpose of completing the contract transaction. They are not permitted to use your information for any other purpose. We may share vendor contact information with our partners in order to provide you with certain accommodations and to complete any necessary planning requirements of NCAAOM events.

Event/Class Critiques

The NCAAOM provides and strongly urges all attendees to complete and return critique forms for each class attended, the Vendor area, and the Event in general. Our critique form may also ask you about the general style of class instruction you prefer, specific instructors or topics of instructions that you prefer, and the return on investment (such as CEUs) that you require. It may also ask you for your age range, zip code and credentials. This data will not be tied to any identifiable information and is used for several purposes. It is used in its aggregate summary form to make recommendations to the NCAAOM Board, Instructors, Vendors, and Event staff that we perceive may need special mention and to better understand more about our attendee's educational interests, and to improve our event planning and execution.

The NCAAOM Event databases are designed in such a way so that we will be able to maintain personal information about you, your event attendance history, the CEUs earned and awarded, and payment status. In certain situations such as the receipt of a legally recognized subpoena or court order, we may be required to share information about you as an NCAAOM Exposition and Conference attendee.
